About The Position

The Administrative Assistant in Eastman's Specialty Plastics Operations (SPO) department provides essential administrative support while maintaining confidentiality and delivering excellent customer service. This role involves managing schedules, processing communications, and coordinating departmental activities to enhance operational efficiency.

Requirements

  • High school diploma or GED
  • Prior administrative experience
  • Proficient knowledge of Microsoft Office, including Teams, Outlook, Word, Excel, PowerPoint.

  • Experience with Sharepoint, PowerBI, SAP, Ariba &/or Workforce highly preferred

Responsibilities

  • Perform weekly input of barrier removal observations (BROs), job site reviews (JSRs), and low-pressure leak checks (LPLC) for all departments across the division.
  • Process Director's Outlook mail, post meetings, and alert Director to any urgent notes.
  • Maintain calendar by arranging appointments, scheduling meetings and travel, and resolving conflicts.
  • Organize meetings, teleconferences, group meetings, and workshops.
  • Serve as department timekeeper and Workforce expert, aiding Team Managers (TMs) and Operators as needed.
  • Provide computer hardware and software technical support to the department.
  • Maintain department vacation schedule.
  • Maintain information in R/3 concerning positions, work schedules, and time distribution.
  • Coordinate employee moves into and out of the department.
  • Coordinate retirement, anniversary, OAP graduation, and other departmental celebrations/meals.
  • Provide authorization for safety shoes and safety prescription glasses after approval by TM.
  • Work with division Sharepoint team to maintain and manage content and authorization for department Sharepoint sites.
  • Make necessary arrangements for visitors, such as passes, escorts, customer or employee tours, conference rooms, etc.
  • Maintain conference room schedules for Buildings 265 and 65.
  • Maintain office supply inventory, locker list and assignments, department organizational chart, security groups, employee address listing, flower fund, department credit card, bulletin boards, etc.
  • Drive annual review of department files.
  • Ensure office equipment is maintained and kept in working order.
  • Maintain radio in office and notify staff of emergencies.
  • Greet callers and visitors; handle inquiries.
  • Set up and maintain electronic filing systems for records, correspondence, and other department documents.
  • Schedule department leadership team and planning meetings.
  • Develop and update department team measures.
  • Update Specialty Plastics Operations TW/OT measure and send to TMs and building supervisor.
  • Update cost spreadsheet, overtime/absence measure, and other monthly department reports.
