About The Position

The Administrative Assistant, Sales, provides high-level administrative support across executive operations, event planning, procurement, sales, and marketing. This role is responsible for managing calendars, coordinating travel and meetings, handling expense reports, and executing special projects. The ideal candidate will also lead logistics for internal and client-facing events, support procurement and sales operations, and contribute to marketing initiatives with precision and professionalism.

Requirements

  • Bachelor’s degree preferred in Business Administration, Communications, or related field, or equivalent years of experience.
  • Minimum of 3–5 years of experience in executive support or administrative roles.
  • Experience supporting senior leadership and coordinating cross-functional projects.
  • Event planning and procurement experience strongly preferred.
  • Knowledge of executive operations and calendar management.
  • Familiarity with performance management and SOP compliance.

Nice To Haves

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with Concur, SharePoint, and other enterprise systems.

Responsibilities

  • Manage complex travel arrangements and itineraries.
  • Prepare and submit expense reports.
  • Take meeting minutes when needed.
  • Schedule and coordinate cross-departmental meetings.
  • Maintain executive calendars.
  • Monitor email communications.
  • Execute special projects.
  • Coordinate logistics for major company events such as the Annual Sales Meeting and Quarterly Business Development Meetings.
  • Manage promotional item orders and conduct monthly card audits.
  • Administer travel cards for employees and support Concur training.
  • Maintain SharePoint administration and monitor departmental mailboxes.
  • Administer SharePoint for business development and coordinate client and employee gifts and awards.
  • Ensure compliance with performance management and SOP deliverables.
  • Review and approve expense reports.
  • Record and post meeting content and submit procurement requests.
  • Maintain and update the conference tracker and oversee planning for tradeshows.
