Responsibilities

  • Interpret, apply, and explain complex division-related information.
  • Guide, train, and direct the work of other clerical support personnel.
  • Assist in monitoring, developing, and maintaining division budgets and related reports.
  • Oversee preparation and processing of purchase orders, invoices, and requisitions.
  • Communicate with staff, students, parents, and outside organizations to coordinate programs and activities.
  • Compile information and maintain a variety of data, records, and reports related to division programs.
  • Compose a variety of materials including inter-office communications and reports.
  • Coordinate travel arrangements and process related reimbursements.
  • Schedule and attend meetings, workshops, and other events; prepare and distribute agenda items.
  • Exercise independent judgment in resolving complex issues and complaints.
  • Input data into computer systems and maintain automated files and records.
  • Maintain a calendar and deadline reminder system for appointments and meetings.
  • Make recommendations for technology and supply needs for the division.
  • Monitor inventory levels of office supplies and equipment.
  • Prepare workshop and training materials, including PowerPoint presentations.
  • Provide oversight of department records and assist in document storage management.
  • Receive and process incoming and outgoing mail in a timely manner.
  • Research, compile, and verify information for reports and forms.
  • Train and provide guidance to assigned personnel as directed.
  • Attend professional development and provide training to other staff members.
  • Coordinate clerical activities within assigned departments and programs.
  • Attend and participate in various meetings and events.
