Helen Keller Services for the Blind is currently seeking a full-time Administrative Assistant to join our Rehabilitation Services department located in Hempstead, NY. The Administrative Assistant plays a critical role in maintaining accurate records, managing data in NYSCBs inFormed system, assisting with outreach and support group coordination, and ensuring smooth daily operations to help clients with visual impairments receive timely and effective services. The Administrative Assistant must demonstrate a sincere commitment to HKSs Mission and Values and conduct him/herself at a high professional level at all times, projecting a positive image of HKS internally and externally.

Requirements

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Minimum of 2 years of administrative or office experience; experience in nonprofit, healthcare, or human services settings a plus.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook) and comfort learning new databases.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication.
  • Ability to handle confidential information with professionalism and discretion.
  • Bilingual (especially Spanish) a plus.

Responsibilities

  • Supporting the Adaptive Living Program (ALP) through administrative tasks including report uploading, service tracking, and data entry into NYSCBs inFormed database.
  • Creating, managing, and submitting service authorizations in collaboration with rehabilitation instructors and NYSCB staff.
  • Assisting with the preparation and submission of monthly program reports, including unit summaries and service data tracking.
  • Ordering adaptive equipment for VRT and O&M staff.
  • Maintaining organized digital and physical client records in accordance with agency policies and confidentiality standards.
  • Making outreach and reminder calls for support groups, client workshops, and special events.
  • Assisting with the creation and distribution of outreach materials (flyers, emails, mailings) to promote services and events.
  • Supporting internal communication between rehabilitation staff, program leadership, and other departments.
  • Performing other administrative duties as assigned to support the overall function and success of the Rehabilitation Services Department.
