The Administrative Assistant-Recruiting performs administrative and support duties, such as preparation of reports and presentation materials, handling correspondence, receiving and directing visitors, scheduling meetings, coordinating events, and completing data entry.

Requirements

  • High school diploma, GED, or equivalent.
  • Good learning agility.
  • Organization, time-management, and multi-tasking skills.
  • Ability to solve routine problems using established standards.
  • Working knowledge of Microsoft Suites and ability to learn new technologies.
  • Detail-oriented with the ability to maintain accuracy in data entry.
  • Good customer service skills with the ability to handle sensitive information.
  • Basic math skills.
  • Good communication and interpersonal skills.
  • Knowledge of Workplace Safety Rules.

Responsibilities

  • Maintains a clean, sanitary, organized, and safe work area ensuring compliance with all policies, practices, and regulations.
  • Schedules meetings, reserves conference rooms and equipment, coordinates events, scheduling tours, managing calendars, and may make travel arrangements.
  • Participates in special projects.
  • Provides reception services, including receiving and directing visitors, answering and directing calls, and handling mail.
  • Creates and maintains records ensuring accuracy and completeness.
  • Compiles, stores, and distributes reports.
  • Coordinates collection and preparation of reports and documentation.
  • Tracks expenses, inventory, and various department logs. Support budget preparation and expense reporting as needed.
  • Monitors, orders, and/or distributes supplies. Responsible for coffee supplies, visitor PPE, and supply closets.
  • Provides editing, proofing, formatting, and distribution of materials.
  • Completes data entry ensuring accuracy and compliance.
