About The Position

SummitTX Capital is seeking a highly organized and proactive Administrative Assistant to serve as the firm’s primary receptionist and provide day-to-day administrative and operational support for the Firm’s Marketing team and other teams as needed. This individual will help ensure smooth coordination between departments, assist with recurring reporting and scheduling needs, and contribute to maintaining a professional and welcoming office environment. The ideal candidate thrives in a fast-paced setting, demonstrates excellent attention to detail, and takes initiative to anticipate team needs.

Requirements

  • Administrative experience, ideally in a financial services or professional environment.
  • High proficiency in managing calendars, travel, and expenses.
  • Strong organizational and multitasking skills with the ability to manage competing priorities.
  • Solid attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and/or Google Workspace; familiarity with expense and scheduling tools.
  • Ability to anticipate needs, solve problems proactively, and maintain confidentiality.
  • Positive, flexible, and professional attitude.
  • Strong interpersonal skills and a polished, client-ready presence; prior front desk or reception experience is a plus.

Nice To Haves

  • Experience in marketing or communications is a plus — this role will provide support to the firm’s marketing function, and familiarity with marketing workflows, content coordination, or client communications is welcome.

Responsibilities

  • Provide administrative assistance to multiple teams across the firm, including scheduling meetings, maintaining shared calendars, and tracking deadlines.
  • Support cross-functional communication by organizing agendas and following up on action items.
  • Assist with document preparation, proofreading, and formatting reports, memos, and presentations.
  • Coordinate conference attendance and travel logistics for team members as needed.
  • Team members being supported may be based in Fort Worth, New York, or elsewhere.
  • Process expense reports, invoices, and vendor payments in collaboration with the Operations and Accounting teams.
  • Assist with onboarding and offboarding logistics for employees and contractors.
  • Maintain digital filing systems to ensure efficient document management and compliance with firm policies.
  • Serve as the firm’s primary receptionist, managing the front desk, greeting visitors, and handling general inquiries in a professional and welcoming manner.
  • Help organize internal events, meetings, and team-building activities.
  • Support special projects across teams.
  • Coordinate logistics for client meetings and firm-wide communications.
  • Collaborate with the Office Manager to ensure that shared workspaces are organized and fully supplied.
  • Assist in managing vendor relationships, deliveries, and routine office maintenance requests.
