Administrative Assistant-Procurement & Contracts Attends outreach to DBEs and community organizations to advise them of opportunities. Assists with drafting scope of work for all solicitations. Assists with filing and organizing procurement and contract files; Ensures copies of all executed agreements and work authorizations are in the appropriate folders. Responsible for updating the contract spreadsheet to present at the monthly staff meetings; Ensures that all work authorizations are renewed accordingly and contract deadlines are being met. Assists with completing all DBE and Lobbying Reports (TxDOT, FTA & METRO) Assists with monitoring contracts to ensure sub-contractors are paid as required; Assists with ensuring all grant-funded procurements, contracts, and project activities comply with all applicable Federal, State and Local rules and regulations. Assists with updating directory on verified DBEs. Responsible for maintaining inventory and asset files and coordinating annual asset site visit conducted by the County Purchasing department. Responsible for ensuring the Transit Asset Management (TAM) Plan is kept up to date and performance targets are being met. Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.

Requirements

  • High School Diploma/GED; College Degree Preferred.
  • 3 years job-related experience
  • Procurement/Contract experience preferred
  • Valid Driver's License
  • Bilingual English/Spanish preferred but not required.
