About The Position

The Administrative Assistant will report to the Director of Administration and Operations and assist in the management and implementation of the organization’s strategic plan. This role involves scheduling meetings, project management, taking minutes, assisting in presentations, and maintaining communications for the strategic planning team. The Administrative Assistant will also support the Grand Secretary (CEO) with calendar management, travel logistics, expense reporting, and preparing board meeting materials.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Minimum of 3–5 years of administrative experience, preferably supporting senior executives.
  • Experience working in a nonprofit, membership-based, or mission-driven organization is preferred.
  • Familiarity with board governance processes.

Responsibilities

  • Schedule strategic plan meetings and smaller group meetings as needed.
  • Maintain Asana or similar workflow software to track deliverables for the strategic plan team.
  • Take and maintain minutes at monthly strategic plan meetings.
  • Assist the Director of Operations in creating presentations for the Executive Staff and Executive Committee.
  • Maintain the strategic planning team’s Team channel and monitor discussions.
  • Help maintain the Grand Secretary’s calendar, scheduling meetings and appointments.
  • Manage the Grand Secretary’s domestic and international travel logistics.
  • Prepare monthly expense reports in a timely manner.
  • Screen voicemails and respond to emails on behalf of the Director of Operations or Grand Secretary.
  • Prepare Word, Excel, PowerPoint presentations, and other documents.
  • Prepare and distribute agendas and meeting materials for board meetings.
  • Manage special projects and events including executive-level retreats and conferences.
  • Perform other duties as assigned.
