About The Position

The Administrative Assistant provides administrative support to the department head and assists in various projects, offering support with administrative and related services for the department. This role involves gathering essential data and preparing operational and statistical reports as requested. The position requires preparing correspondence, reports, forms, vouchers, and specialized documents related to the department, proofreading materials for accuracy and compliance with departmental policies. The Administrative Assistant performs complex office support work, exercises independent judgment, and applies technical skills specific to department operations. The role also includes data entry, collection, and analysis, collaborating with others to improve operational efficiencies through technology.

Requirements

  • High school diploma or equivalent certificate from an accredited program.
  • Three years of experience in administrative support.
  • Proficient with MS Office, Outlook, and Internet Explorer.
  • Excellent organization skills and attention to detail.
  • Ability to handle multiple tasks simultaneously.

Nice To Haves

  • Experience in a healthcare setting.
  • Familiarity with Epic and Muse software programs.
  • Knowledge of medical terminology.

Responsibilities

  • Prepares correspondence, reports, forms, vouchers, and specialized documents related to the department.
  • Proofreads materials for accuracy, completeness, and compliance with departmental policies.
  • Performs complex office support work requiring independent judgment and technical skills.
  • Participates in data entry and collection, as well as analysis and presentation.
  • Collaborates with others to improve operational efficiencies using technology.
  • Coordinates patient care and transports patients in specific departments.
  • Schedules meetings, prepares agendas, and takes minutes for various committees.
  • Maintains filing systems and ensures courteous handling of visits and calls.
  • Assists with the implementation and execution of HR programs.
  • Supports various departments with clerical tasks and project coordination.
