About The Position

The Administrative Assistant at NYU Langone Huntington Medical Group is responsible for providing comprehensive administrative support to enhance workflow and efficiency within the department. This role involves managing calendars, preparing reports, coordinating meetings, and performing various clerical duties. The successful candidate will exercise independent judgment in resolving administrative issues and will provide backup support for Executive Assistants and Project Assistants as needed.

Requirements

  • Associate's degree in a related field.
  • Minimum of three years of related experience in an administrative support role or equivalent combination of education and experience.
  • Proficient in Microsoft Office (Word, Excel, Access).
  • Ability to develop moderately sophisticated spreadsheets and resolve simple software/hardware problems.
  • Effective oral and written communication, interpersonal, and customer service skills.
  • Ability to proofread documents and write clear, concise first drafts.
  • Ability to type at a speed of at least 50 net words per minute.
  • Ability to multi-task while paying attention to detail.
  • Ability to exercise administrative judgment and assume responsibility for decisions.

Responsibilities

  • Provides administrative support for an organizational unit or department to maintain and improve workflow efficiency.
  • Independently responds to and composes correspondence, types and proofreads memos and reports.
  • Gathers data and information from various sources to prepare reports and responds to requests for information.
  • Manages calendars and makes complex scheduling arrangements involving multiple parties and conferences.
  • Sets up and coordinates meetings and conferences, including teleconferencing and video conferencing.
  • Develops filing systems and internal mailing processes and procedures.
  • Provides backup support for reception as needed, meets and greets clients, and resolves non-routine situations.
  • Performs general clerical duties such as photocopying, faxing, mailing, and filing.
