About The Position

Oklahoma City Indian Clinic (OKCIC) is a non profit corporation that provides culturally sensitive health care to the American Indian population. OKCIC services not only include basic medical care, but also dental, optometry, behavioral health services, fitness, nutrition and other family programs. The Administrative Assistant will assist RN Case Managers with patient referrals for medical services not provided in-house and perform routine clerical and administrative duties to ensure smooth operations within the Nursing department. This role requires exceptional communication skills, attention to detail, and the ability to multitask in a fast-paced healthcare environment. Applicants claiming Indian Preference must complete the full application and must provide documentation verifying eligibility (such as a tribal enrollment card or Certificate of Degree of Indian Blood (CDIB)).

Requirements

  • Must aligned with OKCIC vision, mission, and core values.
  • High school diploma or GED.
  • Two (2) years directly related medical office experience required.
  • Must be proficient in Microsoft Office and/or Google Suite.
  • Must have the ability to multitask in a fast-paced environment.
  • Current CPR is required or must be obtained within 6 months of hire.

Nice To Haves

  • Knowledge of electronic health records and RPMS system preferred.

Responsibilities

  • Assists patients by scheduling appointments, returning phone calls and directing patients to the appointments as necessary.
  • Responsible for requesting medical records from outside sources
  • Retrieve and return phone calls, organizing incoming faxes, answers patient phone calls, and returns calls in a timely manner.
  • Responsible for obtaining insurance prior authorizations.
  • Assist with scheduling appointments for lab, radiology and other ancillary services.
  • Communicates with PRC and other specialty staff reading the status of referrals.
  • Providing accurate and professional information to patients and individuals interacting with the organization via telephone, e-mail, or other forms of communication.
  • Communicates effectively and concisely with providers, staff, patients and their family, and the general public.
  • Performs clerical duties including typing memos, letters, reports, checking departmental mail, distribution of faxes and making copies of documents.
  • Scans in outside medical records into patient charts.
  • Maintains confidentiality of patients’ data and information.
  • Attends staff meetings.
  • Performs additional duties, as assigned by VP of Nursing and/or other RNs, to assist with the flow of patient care.
