Requirements

  • Proficiency in QuickBooks for bookkeeping and invoicing processes
  • Strong office management skills with experience in clerical tasks such as filing, data entry, and document proofreading
  • Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Experience with multi-line phone systems and phone etiquette to provide professional customer support
  • Knowledge of office experience including calendar management, typing speed, and time management techniques
  • Personal assistant or administrative support experience that demonstrates reliability and proactive problem-solving skills

  • Bilingual abilities are highly desirable to serve diverse clients effectively
  • Familiarity with medical or dental receptionist duties is a plus but not required; transferable skills are valued highly

Responsibilities

  • Manage front desk operations, greeting clients and visitors with professionalism and enthusiasm
  • Handle multi-line phone systems, directing calls accurately and courteously
  • Maintain organized filing systems, both digital and paper-based, for client records, invoices, and project documentation
  • May utilize QuickBooks for invoicing, bookkeeping, and financial record-keeping to ensure accurate accounting practices
  • Support scheduling and calendar management for landscaping projects and appointments
  • Assist with data entry tasks, including updating client databases and project tracking sheets using Google Workspace and Microsoft Office tools
  • Provide excellent customer service by addressing inquiries promptly via phone or email, ensuring client satisfaction
  • Perform clerical duties such as proofreading documents, managing correspondence, and supporting office management activities
  • Coordinate with team members to ensure timely completion of administrative tasks and project deadlines
