About The Position

Hedgelan Consulting is seeking a skilled Administrative Assistant IV to support the Office of Data Science Strategy (ODSS) in the Division of Program Coordination, Planning, and Strategic Initiatives (DPCPSI). The ideal candidate will provide comprehensive administrative and office support, ranging from general clerical duties to more advanced administrative tasks. This position is a unique opportunity to work with Hedgelan Consulting in support of the Office of Data Science Strategy (ODSS) in the Division of Program Coordination, Planning, and Strategic Initiatives (DPCPSI). Candidates with a strong administrative background and government contracting experience are encouraged to apply.

Requirements

  • High school diploma or GED required and eight years of related work experience; or a college degree and four years of related work experience.
  • Ability to perform administrative duties for executive management.
  • Proficiency in computer skills, including word processing, spreadsheets, and internet research.
  • Strong communication, organizational, and multi-tasking skills.

Nice To Haves

  • Government contracting (govcon) experience and/or prior experience with NIH is highly desirable.

Responsibilities

  • Provide support for various procurement and administrative tasks.
  • Manage senior executive staff schedules and coordinate/compile meeting materials.
  • Coordinate the preparation of travel requests, professional service orders, requests for sponsored travel Form 348, outside activities forms, training requests and correspondence.
  • Act as point of contact with management and administrative, budget and property management staff.
  • Develop, maintain and utilize various administrative databases and extract data and reports from various National Institutes of Health (NIH) systems.
  • Coordinate and process equipment and office supply order requests; serve as the point of contact in the administration of all maintenance contracts for office equipment.
  • Provide guidance to staff on Federal guidelines and procedures.
  • Maintain SOPs, guidance documents or instructions associated with the programs and systems used in the organization.
  • Prepare SOPs and review for accuracy; maintain knowledge of current regulations, policies, and procedures.
  • Develop, maintain and update documentation, databases and spreadsheets for personnel, budget, and travel actions.
  • Prepare inventory and purchase requests and assists with property management.
  • Coordinate with management on special projects.
  • Coordinate staff responses to data calls from the Office of the Director.
  • Provide direct administrative, procedural and informational resource support; work with staff to coordinate program workflow.
  • Perform a variety of complex, specialized support tasks, on an ongoing and ad hoc basis.
