About The Position

Performs highly complex administrative support work in facilities maintenance and construction. Work involves coordinating administrative support including disseminating information; developing filing systems; and preparing and editing reports and documents. Works under limited supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, technical program support, or public administration experience. Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
  • Knowledge of office practices and procedures.
  • Knowledge of business terminology, spelling, punctuation, and grammar.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in problem-solving techniques.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain complex records and files in an automated system.
  • Skill to review technical data and prepare technical reports.
  • Skill to plan work in order to meet established guidelines.
  • Ability to maintain the security and integrity of critical infrastructure as it is defined by state law.
  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry under 15 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.

Nice To Haves

  • Facility maintenance or construction experience preferred.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.

Responsibilities

  • Requisitions and tracks merchandise, supplies, parts, and equipment for unit maintenance and construction activities; and maintains perpetual inventory control files and records of materials and supplies to include an automated filing system.
  • Prepares, interprets, and disseminates information concerning maintenance and construction programs and procedures; and prepares and distributes correspondence, reports, studies, forms, and other documents.
  • Coordinates maintenance and construction work with other agency staff and departments; and provides technical assistance to staff concerning maintenance and construction program problems.
  • Assists in researching technical issues; responds to inquiries regarding rules, regulations, policies, and procedures; and participates in the planning and execution of an agency program.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
