About The Position

Under direct supervision of the Associate Vice President, Academic Success, responsibilities include, but are not limited to: Assist and support the AVP of Academic Success in a timely and efficient manner. Effectively support the AVP with special projects and events that support the work and mission of the office, subdivision, and college. Ensure effective communication by screening the AVP calls/emails, relay messages, prepare meeting agendas, meetings, and other correspondence. Assist the AVP with the budget development by compiling information to support projected expenditures in specific areas, such as wages, operating costs, and travel costs. Serve as a P-Card holder for the unit, completing purchases and reconciling statements. Properly maintain, supply, and discard office equipment; represent the Office of Academic Success at internal and external events. Continually monitor and update the AVP's calendar, alert AVP to potential issues. Maintain, update, and track monthly budget reports. Research and obtain data internally and externally as requested. Assist professional staff with projects and assignments. Compile and summarize information, compose narrative reports, announcements, correspondence, findings of fact and other materials using appropriate grammar, punctuation, spelling and syntax. Compile, organize and consolidate financial and statistical data required to assist in the development of the budget of a major work unit; analyze and reconcile numerical data and narrative information; develop spreadsheets to facilitate data analysis; compile cost sheets; prepare reports and budget documents according to specific instructions from the Budget Office. Develop and implement effective and efficient record keeping systems and ensure that information is logically organized, appropriately cross referenced, and accessible to users. Provide reliable assistance as needed to all areas within Academic Success. Properly maintain inventory of supplies and resources for the Office. Share job knowledge with coworkers in a positive manner; promote a secure and safe work environment by observing safety practices and reporting any possible safety or security manners to the AVP. Be flexible and open to changes in workflow, processes, personnel, and structures. Protect and maintain confidentiality. Identify professional development activities for self and other staff in the Office. Maintain records and track the progress and outcome of legislative proposals, grievances, contracts, personnel and project activities; develop and implement effective and efficient recordkeeping systems and ensure that information is logically organized, appropriately cross-referenced, and accessible to users; ensure confidentiality of sensitive information which is not part of the public record.

Requirements

  • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.
