The Administrative Assistant III position provides essential administrative support within the Family Services department, focusing on facilities and emergency management. This role involves data entry, document preparation, vendor management, and general office administration, ensuring efficient operations and communication within the department.

  • Provide day-to-day administrative support for facilities and emergency management areas.
  • Accurately enter data and information into appropriate databases and spreadsheets.
  • Receive, submit, track, and follow-up on facility work orders.
  • Escort and monitor vendors performing basic facility functions.
  • Prepare a variety of documents for routing and approval.
  • Order, inventory, receive, deliver, and shelve routine supplies.
  • Respond to general inquiries from staff about facilities and emergency management.
  • Maintain files and compile documents and other materials.
  • Use spreadsheets or databases to organize information and produce standard reports.
  • Prepare complex disbursement forms for routing and approval.
  • Reconcile ledgers and prepare status reports.
  • Verify requests for goods and services against county contracts and funding sources.
  • Maintain calendar(s) and schedule meetings and appointments.
  • Compose routine correspondence on behalf of the executive/work unit head.
  • Provide administrative support and implement procedures for office management.
  • High school graduation and two years of experience providing administrative support in the assigned functional area(s).
  • Valid driver's license.
  • Ability to maintain confidentiality and be sensitive to political issues.
  • Ability to exercise good judgment and critical thinking skills.
  • Experience gathering and analyzing data.
  • Excellent oral and written communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Intermediate proficiency using Microsoft Office Suite (Word, Excel) and other software applications.
  • Basic knowledge of facility operations.
  • Experience inputting and maintaining accurate inventory of items through an inventory management system.
  • Competitive salary range of $44,368.06 - $73,946.08 annually.
