About The Position

This open competitive advertisement is for a Career Service position located at Central Office in Tallahassee, FL in the Bureau of Procurement. The mission of the Bureau of Procurement in the Florida Department of Corrections (FDC) is to ensure the efficient, ethical, and cost-effective acquisition of goods and services necessary to support the Department's operations. This position is not a telework position and is required to report to the FDC office in the area it serves.

Requirements

  • Must possess a high school diploma or its equivalent.
  • Must possess two (2) years of clerical experience.
  • Support of knowledge, skills, and abilities should be demonstrated on the application, in the education, in the work experience, in the work sample, in the interview and/or during reference checks.

Responsibilities

  • Administrative Support: Assist the Director of Procurement with daily operations, including customer inquiries, formatting work assignments, scheduling meetings, and providing guidance to staff.
  • Document Coordination: Manage the routing, logging, tracking, and reporting of solicitation and contracting documents to ensure smooth processing.
  • Human Resources Assistance: Coordinate HR actions, track vacant positions, schedule interviews, and ensure interview packets are complete.
  • Budget and Purchasing Oversight: Track and report on the Bureau’s budget, reconcile Purchasing Card (PCard) transactions, and manage purchase requests in MyFloridaMarketPlace.
  • Records Management: Serve as the Bureau’s Records Custodian, ensuring compliance with state retention policies, tracking records, and coordinating their transmittal or destruction.
  • Travel Coordination: Arrange travel plans, prepare authorizations and reimbursements, and ensure compliance with travel policies.
  • Communication and Research: Prepare communications, collect data for special projects, proof and edit drafts, and act as a liaison with other divisions, regions, institutions, and the public.
  • Calendar and Mail Management: Maintain the Director’s calendar, schedule appointments, prioritize mail, track deadlines, and assist with urgent reviews or requests.
