Requirements

  • Minimum of 5 years of administrative experience supporting executive level management.
  • Exceptional communication skills, both verbal and written, with the ability to build relationships and effectively communicate with internal teams and executive level management.
  • Strong analytical and organizational skills with the ability to appropriately prioritize while maintaining a high level of client service and attention to detail.
  • Prior experience with handling confidential information, requiring considerable tact, diplomacy, and judgment.
  • Proficiency in key applications including Outlook, Word, WebEx, Excel, PowerPoint, and SharePoint.

  • Planning – management of the Executive’s calendar, including resolving conflicting meetings.

Responsibilities

  • Provide administrative support for a global technology executive, consisting of calendar management, travel booking, event planning, and other administrative functions.
  • Support the Executive’s directs with questions around administrative processes.
  • May also include expense processing and in-person meeting planning.
  • May be privy to sensitive information requiring considerable tact, diplomacy, and judgment.
  • Communicates with executives and line management to gather and convey relevant information.
  • Answers manager's phone line, documenting accurate messages, and handling calls with appropriate judgment.
  • Manages the calendar of multiple executives proactively, effectively resolving conflicts that arise in a professional manner.
  • Arranges and handles details related to travel arrangements, expense reports, meetings, and appointments.
  • Prepares meeting minutes and related meeting documents, utilizing written and oral communication skills.
  • Prepares correspondence, reports, and forms for leaders, following interaction with internal and/or external customers to answer questions, research, and resolve problems.
