Under the direction of the Executive Assistant, this individual shall serve as a receptionist for all incoming visitors to the administrative offices in addition to providing secretarial and administrative support services to the vice presidents. These responsibilities include, but are not limited to answering telephones, preparing correspondence, greeting incoming visitors, scheduling meetings, meeting room reservations, maintaining computer and paper files and conducting special projects as assigned. Both the administrative assistant and executive assistant positions will work collaboratively and each will be responsible for fulfilling the other position duties in his/her absence. This position reports directly to the Executive Assistant. Greets visitors and employees, assisting and directing, as necessary. Demonstrates a positive, engaging hospitable style. Provides administrative support for assigned Executive(s). Arranges meetings - sending electronic invitations, prepare meeting materials, reserve, and prepare meeting room, catering requests and equipment needs. Maintains calendars. Coordinates conference calls with dial-in instructions and attachments.
