About The Position

The position involves providing administrative and organizational support to the Director, ensuring efficient operation of the office. The role includes managing schedules, coordinating meetings, and handling correspondence. The candidate will also be responsible for processing departmental purchase orders, assisting employees with FMLA/TD Leaves, and coordinating New Hire Asbestos Training. Additional duties include supporting the front desk, managing office supply orders, maintaining department directories, and preparing for special events and meetings.

Requirements

  • High School Diploma or GED.
  • Three (3) years of secretarial experience, preferably in a public education environment.
  • Demonstrated computer skills with experience in Microsoft Office suite.
  • Strong organizational skills and ability to handle multiple projects.
  • Proficient in general office management procedures.
  • Clear and concise communication skills in both written and oral form.
  • Ability to exercise independent judgment and prioritize tasks.
  • Knowledge of financial records and budget process.
  • Flexibility and adaptability in various situations.

Nice To Haves

  • Bilingual proficiency (English/Spanish) preferred.

Responsibilities

  • Provide administrative and organizational support to the Director.
  • Manage schedules, coordinate meetings, and handle correspondence.
  • Prepare and process departmental purchase orders.
  • Process, track and assist all employees with FMLA/TD Leaves.
  • Coordinate and ensure completion of the department's New Hire Asbestos Training.
  • Serve as backup supporting the front desk receptionist.
  • Scan AFD's, employee evaluations, and other documents as needed.
  • Answer and respond to incoming calls, take reliable messages.
  • Manage and process all office supply orders for the department.
  • Assist in preparing 230/260-day work calendars on a yearly basis.
  • Maintain department directories and provide updates monthly.
  • Receive, distribute, and maintain years of service pins and information.
  • Schedule, coordinate and prepare for special events and meetings.
  • Perform other duties as assigned.
  • Regular and reliable attendance is an essential function of the job.
