About The Position

Performs complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; preparing and editing reports and documents; and providing guidance to others. Works under general supervision with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience.
  • Fifteen semester hours from a college or university accredited by an organization recognized by the Council for Higher Education Accreditation (CHEA) or by the United States Department of Education (USDE) may be substituted for each six months of experience.
  • Computer operations experience preferred.
  • Experience in the use of Microsoft Office Suite or equivalent to include work processing, spreadsheet, database, or presentation software programs preferred.

Nice To Haves

  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
  • Skill to type 45 words per minute (with no more than 10 errors) preferred.

Responsibilities

  • Serves as liaison between training department staff and information technology; and submits requests for database access, installation of equipment, and other computer-related needs.
  • Compiles, verifies, updates, and maintains correctional training statistical data; compiles and enters data, and prepares reports, charts, forms and graphs; and prepares and disseminates information concerning correctional training programs and training class documentation.
  • Prepares, edits, and distributes correspondence, reports, forms, and other documents; and maintains filing, record keeping, and records management systems to include automated information systems.
  • Provides customer service and responds to inquiries; monitors and reviews data entered by others in the training database; and assists in troubleshooting and solving training database and computer-related problems.
  • Provides technical support and training to staff in proper class documentation and in the utilization of the agency consolidated training database.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
