About The Position

The Administrative Assistant II position at OUC - The Reliable One is designed to provide comprehensive administrative support to the Emerging Technologies division. The role involves managing various administrative functions, including scheduling meetings, handling payroll, preparing reports and budgets, and collaborating with multiple departments and vendors. The ideal candidate will be a self-starter with strong organizational skills and experience in customer-facing roles.

Requirements

  • Minimum of three (3) years of experience in a mid-to-advanced level administrative role.
  • High School Diploma or GED.
  • Associates degree from an accredited college or university preferred.
  • Florida public notary license preferred.
  • Strong Microsoft Office Suite experience.

Nice To Haves

  • Additional experience in the functional area of assignment may be preferred.

Responsibilities

  • Prepare commission agenda items and generate supporting documentation.
  • Contact vendors and internal customers to create work orders.
  • Assist in the development of the annual operation budget with the budget team and accounting.
  • Compile, create, prepare or review reports and records such as meeting minutes and business expense requests.
  • Review, reallocate, and reconcile procurement card charges.
  • Complete, process, review and finalize payroll-related activities.
  • Maintain hard-copy and electronic office files.
  • Schedule meetings and coordinate major department functions.
  • Distribute mail and generate/edit PowerPoint presentations.
  • Verify, prepare, and approve vendor invoices in Tungsten Network.
  • Order and maintain office supplies inventory.
  • Provide training to administrative assistants and business unit staff on systems, processes, and procedures.
