Responsibilities

  • Greet and direct internal and external customers in a welcoming manner.
  • Answer incoming telephone calls and electronic communications to resolve customer needs.
  • Provide support to agency leadership for written and verbal correspondence.
  • Assist with drafting, preparing, and proofing Request for Council Action (RCA) forms.
  • Schedule meetings, seminars, and training sessions; maintain calendar activities.
  • Prepare materials, meeting agendas, legal notices, and minutes for Board and Commissions.
  • Maintain inventory of office supplies and order supplies as authorized.
  • Process, sort, and file correspondence and documents according to established procedures.
  • Compile information and prepare special reports as requested.
  • Assist in maintaining specialized computer programs/systems unique to the department.
  • Process incoming and outgoing departmental mail.
  • Serve as Payroll Liaison and assist teammates with timecard preparations.
  • Receive and code invoices; enter payment vouchers into the accounting system.
  • Manage agency cash receipts and prepare bank deposit forms.
  • Prepare Purchase Orders and verify account codes.
  • Assist in preparing various financial, statistical, or operational reports.
