About The Position

Under the direction of the Principal/Supervisor, organize, coordinate and manage the clerical activities and communications of an office; perform varied and responsible secretarial duties; serve as confidential secretary; provide specialized assistance and information to students, parents, faculty and others.

Requirements

  • Knowledge of general safety rules and techniques.
  • Knowledge of district rules of conduct.
  • Knowledge of modern office practices, procedures and equipment
  • Knowledge of correct English usage, spelling, grammar, punctuation and composition
  • Knowledge of applicable sections of the Board Policy and other laws and regulations
  • Skill in establishing and revising work priorities
  • Skill in maintaining complex filing systems containing confidential or sensitive information.
  • Skill in working effectively with frequent interruptions and many demands on time.
  • Skill in establishing and maintaining effective working relationships with others.
  • Able to perform physical requirements of the position with or without reasonable accommodation
  • High School Diploma/GED - supplemented by course work in office practices, bookkeeping or related field
  • Three years of increasingly responsible secretarial and clerical experience involving extensive public contact and financial record keeping.

Responsibilities

  • Serve as liaison among the principal/supervisor, teachers, students, parents and other staff members.
  • Provide a wide variety of responsible secretarial in support of school/department office activities, administrative, teaching and support staff.
  • Serve as confidential secretary to the Principal/Supervisor; type, file and process personnel evaluations, documentation of disciplinary actions and other sensitive materials.
  • Greet parents, students, staff and other visitors to the school/department office; assist visitors and direct them to appropriate personnel.
  • Understand, interpret, apply and explain State and District rules, regulations, policies and procedures related to school operations, programs and services.
  • Prepare, format, type, edit, proofread, process and distribute a variety of materials including bulletins, correspondence, reports, purchase orders, requisitions and other documents.
  • Maintain the school/department calendar of events and schedule facilities use.
  • Schedule meetings, appointments and conferences for the Principal/Supervisor as requested.
  • Answer telephones and respond to questions; take and relay messages; provide assistance and information.
  • Compose routine memos and correspondence from brief verbal instructions or notes.
  • Maintain a variety of records and files including materials of a confidential nature.
  • Record and process employee attendance data for payroll purposes.
  • Greet and orient substitute personnel; open, sort and route mail.
  • Order, receive, store and maintain office supplies.
  • Operate a variety of standard office machines.
  • Coordinate and assure the timely completion of office clerical work; assist other personnel as needed in enrolling students and providing first aid to ill and injured students.
  • Monitor student conduct in the office.
  • Prepare agendas, attend meetings and take minutes.
  • Maintain budget records; record expenditures and maintain current balances in assigned accounts.
  • Schedule and request maintenance and repair on equipment and facilities.
  • Train and provide work direction to others as assigned.
  • Perform related duties as assigned.
