About The Position

The College of Health Professions and Sciences (CHPS) School of Social Work is currently accepting applications for an Administrative Assistant II to provide administrative and clerical work to the school's program directors (MSW, BSW, & Field) and the school director. This position will support the field program, the continuing education program and the SSW faculty and Staff.

Requirements

  • High School Diploma or Equivalent and 2+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219(6)

Nice To Haves

  • 4+ years of administrative experience in higher education.
  • Previous experience in event planning.
  • Experience in managing and tracking contracts, specifically regarding renewal timelines and generating accurate reports.
  • Expertise in Microsoft Office Suite (Word, Excel, PowerPoint) for data management, reporting, and correspondence.
  • Familiarity with learning management systems such as Canvas or similar platforms is highly desirable.
  • Ability to manage multiple responsibilities, prioritize tasks effectively, and maintain accuracy in a fast-paced environment.
  • Ability to communicate effectively with faculty, staff, students, and external community partners.

Responsibilities

  • Provide comprehensive administrative support to the Field, MSW, and BSW Program Directors.
  • Manage scheduling and coordination of meetings, including preparing agendas and recording minutes.
  • Assist the School of Social Work Director, faculty, and staff with administrative processes, including supporting hiring searches and managing general correspondence.
  • Support school and clinic events, including coordinating logistics, communications, and managing catering services.
  • Maintain relationships and serve as a liaison with external constituents, such as interviewees and vendors.
  • Oversee fiscal functions, including procurement (e.g., purchasing goods and services) and reimbursements.
  • Process faculty, staff, and visitor travel arrangements and expense reports within Workday.
  • Coordinate complex travel logistics for Program Directors and distinguished visitors.
  • Support the Field Director and Field Faculty by maintaining comprehensive fieldwork databases, forms, and student records.
  • Process and track agreements and contracts with field placement sites using systems like Workday, Cobblestone, and other UCF platforms.
  • Facilitate the timely completion and distribution of required field reports in collaboration with the Continuing Education coordinator.
  • Collect and manage adjunct data each semester and prepare required reports for the Human Resources Business Center concerning new hires.
  • Compile data and prepare various required reports for university, college, and accreditation purposes.
