About The Position

Performs routine administrative support and technical program assistance work. Work involves disseminating information; maintaining filing systems; and performing administrative support work. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date.
  • Must meet and maintain TLETS access eligibility for continued employment in position.
  • Knowledge of office practices and administrative procedures.
  • Knowledge of business terminology, spelling, punctuation, and grammar.
  • Knowledge of court cases and how they impact inmate time calculations.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain accurate records, files, and reports.
  • Skill to review technical data and prepare technical reports.
  • Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15-44 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
  • Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
  • Equipment (machines, tools, devices) used in performing only the essential functions include computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.

Nice To Haves

  • Customer, clerical, secretarial, administrative support, technical program support, or criminal justice experience preferred.
  • Inmate classification experience preferred.
  • Computer operations experience preferred.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
  • Skill to type 45 words per minute (with no more than 10 errors) preferred.

Responsibilities

  • Receives, compiles, and processes records concerning the release of inmates to mandatory supervision, parole, and discharge; and prepares and assembles information for administrative review and action.
  • Processes documents for inmate release; reviews computer files for detainers and accuracy and conformance to agency policy and laws; and develops, coordinates, reviews, updates, and maintains inmate records, files, logs, and databases.
  • Cross-checks all inmate release information; and identifies and resolves discrepancies and returns documents and records for corrections and to obtain missing documents.
  • Responds to inquiries regarding rules, regulations, policies, and procedures; and provides information to staff, supervisors, inmates and their families, attorneys, judges, and other agencies.
  • Prepares, edits, distributes, and maintains inmate release process procedure manuals.
  • Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
