About The Position

This position will be a part of a dynamic team dedicated to first year students and new student orientation while fostering an environment of continuous learning. The Administrative Assistant II has the responsibility of providing administrative support within the First Year Experience & Orientation department (FYE). The hired candidate will provide high-touch support to our community of students, faculty, and staff. The Administrative Assistant II maintains a consistent focus on our students’ needs. The ideal candidate understands the importance of empathy, active listening, and accountability when working with students. This position will provide assistance to FYE at all three main campuses, and will be mainly stationed at the Henderson Office at least three days per week, and reporting to North Las Vegas and/or Charleston campus the other two days per week. Under direct supervision of the Coordinator of First Year Experience and Orientation, responsibilities include, but are not limited to:

Requirements

  • Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.

Responsibilities

  • Utilize a Student’s First/Student Centered approach in everyday duties and interactions.
  • Promote a culture of inclusiveness and belonging with diverse students and colleagues.
  • Perform front desk/receptionist duties at the Henderson campus with flexibility to travel to other campuses as requested.
  • Answer incoming phone calls and address callers’ needs/relay information as appropriate.
  • Respond to requests for information.
  • Explain FYE and Orientation program details and respond to questions.
  • Maintain student FYE student data and other office records.
  • Understand and comply with FERPA laws.
  • Monitor department email and respond to incoming email.
  • Compose and send emails to students and others.
  • Schedule meetings as requested.
  • Prepare agendas and action items.
  • Take meeting minutes and distribute written summaries.
  • Maintain complex databases and spreadsheets.
  • Maintain and inventory of supplies and equipment.
  • Prepare and type required documents and schedule interviews.
  • Organize and coordinate workload independently among deadlines and shifting priorities.
  • Assist FYE team as needed, complete tasks/special projects requested from FYE team.
  • Utilize empathy, active listening, and de-escalation skills in working with students in distress.
  • Follow protocol for notifying supervisor in emergencies as needed.
  • Perform other related duties as assigned.
