About The Position

This position performs routine administrative support work, which involves providing administrative support including disseminating information, assisting with maintaining filing systems, and preparing and editing reports and documents. The role operates under moderate supervision with limited latitude for the use of initiative and independent judgment. Essential functions include preparing, editing, and distributing correspondence, reports, forms, and other documents, and coordinating work with other departments, units, and staff. The Administrative Assistant II reviews inmate correspondence, processes denials for content violating correspondence rules, and responds to inmate inquiries regarding rules, regulations, policies, and procedures. Key duties also involve performing data entry, retrieval, and data searches, assisting in preparing reports, and maintaining files and records for the unit mail room operations. Additionally, the role maintains a log of inmate special, legal, and media mail, and processes electronic communications, certified mail, and packages received. The position may also perform a variety of marginal duties as determined and assigned.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Knowledge of office practices and procedures.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill to prepare and maintain accurate records, files, and reports.

Nice To Haves

  • Customer service, clerical, administrative support, technical program support, mail room, or correctional unit operations experience.
  • Knowledge of mail room operations and agency rules, regulations, policies, and procedures regarding inmate mail.
  • Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations.
