About The Position

Join a world-class academic healthcare system, UChicago Medicine, as an Administrative Assistant II in the Center for Advanced Practice. In this role as an Administrative Assistant II, you will serve as a liaison between the Medical Staff Office (MSO), APP new hires, and APP leadership to ensure seamless coordination of onboarding, credentialing, privileging, and ongoing communication needs. You will also be responsible for managing the calendar for the Center for Advanced Practice (CAP) leadership, including scheduling meetings, coordinating availability, and proactively resolving scheduling conflicts, and provide administrative support to the APP Executive Council and the Medical Director for APP Education, including booking rooms, coordinating meeting logistics, maintaining agendas, preparing materials, and tracking meeting follow-up actions. You will also update, maintain, and manage data files related to onboarding, credentialing, scheduling, education programs, and operational workflows; ensure accuracy, organization, and timely distribution of information to appropriate stakeholders, and coordinate operational needs for APP education and leadership activities, such as ordering supplies, maintaining inventories, processing administrative requests, and supporting special projects.

Requirements

  • High school diploma required; associate degree.
  • Minimum four years of increasingly responsible administrative or secretarial experience, preferably in a complex healthcare or industrial setting
  • Strong written and verbal communication skills required including use of spreadsheet software such as MS Excel.
  • Ability to plan, organize and work on various tasks concurrently, must be able to independently prioritize multiple tasks in a professional manner.
  • Ability to independently and professionally interact with customers, internal and external to the Hospitals; strong interpersonal skills required.

  • Complete a wide variety of word processing/spreadsheet tasks in final form, which are often confidential in nature and may require detailed proof reading and/or grammatical changes for accuracy.
  • Processes on call forms for the Directors.
  • Assist in ordering office supplies for the office.
  • Continue self-development and ongoing education as required by the Hospitals and the needs of the department
  • Sorting the department mail for IS Darien.
  • Coordinate group meetings as requested by Directors.
  • Other duties as assigned by the directors.
