A Brief Overview The Administrative Assistant II performs a variety of administrative functions and provides exceptional customer service and support to the corporate headquarters. This is an in-person position located in Fairbanks, Alaska Starting wage range: $28.61/hr - $29.27/hr

Requirements

  • High School Diploma or equivalent Required and
  • 3 years of progressive advancement in a professional office or other environment where applicant has demonstrated the ability to work independently to complete administrative tasks with limited oversight. Required

  • Must be eligible to work on a military installation in Alaska. Eligibility to work on a military installation includes compliance with Department of Defense mandates with respect to employee background and health directives.

Nice To Haves

  • Associate's Degree Administrative Office Technology or related discipline, or a combination of education and relevant experience may be substituted at a 2:1 ratio (e.g. two years of education equals one year of experience). Preferred
  • Intermediate experience with SharePoint. (preferred proficiency)

Responsibilities

  • Assist with scheduling and organizing meetings, conferences, and events, including set-up, catering orders, document preparation, and recording minutes.
  • Answer and screen incoming and outgoing calls and correspondence, responding independently when possible and taking or forwarding incoming messages.
  • Schedule services such as paper shredding, facility work orders, and other services as directed.
  • Acts as travel coordinator and oversees the Company travel program, including communicating and adhering to the Company's travel policy, processing travel requests, travel settlements, archiving travel documents, and preparing weekly travel reports.
  • Prepare communications such as memos, emails, invoices, meeting minutes, reports, and other correspondence as needed.
  • Assist with purchasing, including monitoring and maintaining office supply inventory, entering requisitions into the system, collecting purchasing related documents, and coding receipts.
  • Provides records management assistance, including maintaining active, retired, and archived filing systems in both electronic and paper forms.
  • Logs incoming and outgoing correspondence in the Company's correspondence log.
  • Submits monthly operations and utility reports to the Government.
  • Interprets and implement required Controlled Unclassified Information (CUI) handling.
  • Responsible for ensuring common areas are maintained in a professional manner.
  • Answers a multi-line phone system, direct calls, taking and forwarding incoming messages, and placing outgoing calls.
  • Greet visitors in accordance with the Company's facility security policy.
  • Learn, adopt, and apply safety programs.
  • Manages accurate and current calendar for management.
  • May coordinate meetings, conference calls, and travel arrangements/accommodations.
  • Composes internal and/or external correspondence.
  • Maintains and updates office records as needed.
  • Utilizes Microsoft Office Suite to prepare and edit presentations, correspondence, reports, charts, graphs, etc.
  • Compiles information for reports and presentations.
  • Answers a variety of phone calls and emails.
  • Responds to routine inquiries for information.
  • Performs other duties or projects as assigned.
