Requirements

  • Experience in answering telephones and referring callers to appropriate staff.

  • Experience in preparing and proofreading correspondence, forms, reports, or other documents.
  • Experience in maintaining and monitoring records and files, including electronic records.
  • Ability to perform complex tasks related to Federal & State rules and standards while maintaining attention to detail.

  • Ability to quickly comprehend frequent technical changes.
  • Ability to learn and maintain knowledge of the Long-Term Care Integrated computer system and regional Survey Management System.

Responsibilities

  • Answer telephone calls, refer callers to appropriate staff, take messages, and answer basic questions.
  • Enter data into state and federal automated reporting systems and conduct technical reviews of reports.
  • Prepare, process, and distribute federal and state enforcement notification letters and reports as mandated.
  • Monitor and review survey reports for regulated and unlicensed facilities, finalizing CMS certification and transmittals for enforcement actions and surveys.
  • Prepare and distribute documents requested under the Freedom of Information Act.
  • Maintain a regular and predictable work schedule.
  • Prepare ongoing or special narrative and statistical reports for Program Managers, Regional Director, and State Office.
  • Maintain the regional Survey Management System database.
  • Communicate with others to provide, exchange, or verify information, answer inquiries, and resolve issues.
  • Ensure all documentation complies with state and federal requirements and make necessary corrections.
  • Process all state and federal enforcement actions within required time frames.
