About The Position

The Administrative Assistant II position provides administrative and clerical support to the UNLV PRACTICE®. This position is vital to support the success of the UNLV PRACTICE® graduate student trainees as well as to enable the clinic to provide a high standard of care to the clients and community in which we serve. This is an onsite position. Work schedule to be determined in collaboration with supervisor and requires availability during clinic open hours (8:30am-7:30pm). There is no remote work available for this position.

Requirements

  • Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.

Responsibilities

  • Opening/closing the office each day; ensure staff coverage and proper functionality of the front office area.
  • Electronic health records, insurance verification, billing communication, appointment and room scheduling.
  • Rendering, processing and recording clients’ fees at time of appointment.
  • Compliance with all HIPPA and patient confidentiality laws.
  • Work directly with the Director of Clinical Services to ensure proper policies and procedures are in place.
  • Maintain a Pcard, and process all transactions timely.
  • Assist clients, staff, students and clinicians with questions or concerns.
  • Oversee the maintenance office space and equipment utilized in the area.
  • Communicate with clinical coordinators regarding intake paperwork, and scheduling of new clients.
  • Generate invoices in electronic health records for services rendered at the clinic.
  • General office duties, answering phones, emails and standard mail correspondence.
  • Other duties as assigned.
