Our Pharmacy Department located in Elkton, MD is looking for a full-time Administrative Assistant II to provide administrative support Pharmacy services for the Director of Inpatient Operations This Administrative Assistant will also receive direction from Supervisors, Inpatient Pharmacy. at Union Hospital, The ideal candidate will be well organized, detail oriented and have the ability to multitask. Candidate to complete tasks and duties within a prescribed timeline. Strong computer skills as well as good verbal and written communication skills. This role supports a highly regulated medication use environment that requires frequent interaction with pharmacy operations, compliance documentation, controlled substances, audits, and regulatory agencies. To maintain patient safety, ensure regulatory compliance, and support operational continuity, it is recommended that this AA role be filled by a cross - trained, Maryland- licensed Pharmacy Technician. The adjustment more appropriately aligns the role's responsibility with complexity, regulatory oversight, and the operational demands of inpatient pharmacy services at Union Hospital. Requirements

  • High school graduate
  • Prior administrative and/or clerical experience and/or courses preferred
  • Computer knowledge – proficiency with Microsoft Office Suite.
  • Pharmacy experience preferred
  • PTCB certifications
  • Pharmacy Technician License required for State of Maryland (Union ONLY)
  • Knowledge of ChristianaCare and departmental policies, procedures, and standards
  • Knowledge of Joint Commission requirements and standards
  • Knowledge of computer word processing and data base functions
  • Skill in oral and written communication
  • Typing proficiency
  • Ability to work independently within established procedures
  • Ability to work well with others in a tactful, courteous, and friendly manner
  • Ability to practice principles of customer service
  • Ability to maintain ChristianaCare confidentiality standards
  • Ability to prioritize work and manage time efficiently

Responsibilities

  • Perform duties adhering to the ChristianaCare Core Values and Behaviors guided by Excellence and Love.
  • Attends required meetings and takes minutes as necessary.
  • Maintains office supplies for the Department of Pharmacy Services as assigned
  • Responsible for answering telephones, recording messages; obtains and provides information within scope of authority routing calls to appropriate persons.
  • Responsible for greeting caregivers and visitors entering the pharmacy administrative suite.
  • Responsible for scheduling appointments, meetings, and maintains appropriate Outlook calendars for pharmacy Directors and Supervisors as assigned
  • Schedule interviews prepare itineraries, correspond with applicants
  • Assures that all purchase orders and receiving information are sent to Accounts Payable for inpatient and outpatient pharmacy in a timely manner as assigned; acts as a liaison between vendor and accounts payable; process annual blanket POs in Strategic Sourcing for invoices
  • Prepare outpatient deposit checks and send to accounts payable in a timely manner as assigned.
  • Provide administrative support and collaborates with pharmacist partner for the Chemotherapy Regimen Review Committee as assigned
  • Responsible for ordering uniforms for new hires including assignment of mailbox and lockers.
  • Distributes departmental mail.
  • Responsible for entering staff schedules via Kronos Dimensions as assigned.
  • Responsible for bi-weekly review of automated payroll records and review of FMLA usage reports for staff as assigned via Kronos Dimensions; including documentation of occurrence of absence, late, FMLA (self; caregiver), missed swipes, emergency days, etc.
  • Responsible for reporting callouts, late arrivals, and emergency days that are reported during office hours via the collaboration site forms, alerting pharmacy Supervisors and Directors, and recording on the call out white board in lower-level pharmacy.
  • Performs other duties as required.
  • Perform assigned work safely, adhering to established departmental safety rules and practices.
  • Addresses and/or reports to Vice President/Director(s), in a timely manner, any unsafe activities, conditions, hazards or safety violations that may cause injury to oneself, other employees, patients and visitors.
  • Performs all pharmacy technician responsibilities on an as needed basis and maintains active licensure for the Maryland State Board of Pharmacy as well as PTCB certifications. (Union only)
  • Performs other duties as assigned by the Vice President, Pharmacy Services or Directors
