About The Position

The Administrative Assistant II at the University of Massachusetts Dartmouth will serve as the primary point of contact for the Center for Portuguese Studies, assisting the Director and the Executive Editor of Tagus Press in various administrative and project management tasks. This role involves coordinating events, managing communications, and supporting student academic success while adhering to the university's strategic objectives.

Requirements

  • Three years of full-time or equivalent part-time experience in office management or administration, including functions like purchasing, personnel management, budgeting, or grants management.
  • Knowledge of office management principles and practices.
  • Ability to analyze data and make recommendations.
  • Strong written and oral communication skills.
  • Ability to maintain accurate records and prepare reports.
  • Ability to supervise and train staff effectively.

Nice To Haves

  • Proficiency in Portuguese is preferred.

Responsibilities

  • Provide administrative and clerical support to the Director and Executive Editor.
  • Act as a liaison between the Center and visiting scholars, government agencies, and the community.
  • Oversee and maintain administrative files for the Center.
  • Develop and publish announcements, flyers, and promotional materials.
  • Coordinate logistics for on and off-campus events, including conferences and workshops.
  • Assist in the development and publication of community-oriented programs for Portuguese-speaking communities.
  • Organize small projects for the Director and Executive Editor.
  • Assist with grant-funded projects, including writing and preparing grant materials.
  • Prepare, review, and analyze budget reports for all center accounts.
  • Maintain and manage the Center's pro-cards and accounting records.
  • Utilize Peoplesoft for purchase orders and travel authorizations.
  • Process office forms for student employment and payroll.
  • Supervise and train student office staff.
  • Represent the Director at committee meetings as necessary.
