AIMS Companies is currently searching for an Administrative Assistant to join our team. This full-time position is based at our branch located at 401 Northville Street, Houston, TX 77037. The Administrative Assistant plays a crucial role in the organization and coordination of overall office administration. Reporting directly to the Regional Admin, this position is essential for ensuring the smooth operation of the office. The primary objective of this role is to assist in various administrative tasks that support the branch's operational needs. The Administrative Assistant will be responsible for a variety of essential duties. Typical responsibilities include answering phones and directing calls to the appropriate parties, coordinating calls, scheduling onsite excavation, and processing tickets using applications such as iMaps, ARCGIS, and Google Earth. The role also involves typical office duties such as filing, shredding, and ordering supplies. Proficiency in basic Microsoft programs, including Word and Excel, is required for tasks such as filing alphabetically and sequentially, assisting with payroll, data entry, and tracking man hours. Additionally, the Administrative Assistant will assist with Accounts Payable by coding expense spreadsheets and supporting the Office Manager with other duties as they arise. Occasional errands for the office may also be required. This position is not limited to the duties listed above, as other responsibilities may be assigned as needed to support the company's operational needs. The ideal candidate will possess strong communication skills, both verbal and written, and have experience with payroll programs such as SAGE 300CRE and/or Paycom. A high school diploma or GED is required, along with at least one year of relevant experience. Candidates must also have a clean driving record, be at least 18 years old, and be able to pass a pre-employment drug test and background check. The ability to lift and carry items weighing up to 5 lbs, as well as the capacity to walk, sit, bend, stoop, kneel, and stand for extended periods, is essential for this role.
