About The Position

The Administrative Assistant for the Human Resources department supports the Regional Chief Human Resources Officer and dedicated team of approximately 30 human resources staff to facilitate workflow within our department. The Administrative Assistant will assist in a variety of functions, including scheduling meetings, leading programs, planning events, preparing correspondence and managing projects. This position works with confidential documents and situations, requiring the highest level of discretion, organizational skills and professional judgment. Serving as an extension of the Regional Chief Human Resources Officer, the ideal candidate will have a working knowledge of Human Resource programs, processes and evidence-based best practices in order to complete assignments and solve problems with minimal or no supervision.

Requirements

  • Bachelor's degree in Business Administration, Human Resources, Management or related field.
  • At least one half (1/2) years of secretarial or clerical experience involving the performance of tasks which demonstrated knowledge of Microsoft Office products (Word, Excel and PowerPoint).
  • Experience must demonstrate independent decision-making, project management, scheduling, purchasing, correspondence, collaborating with other administrators and support staff.
  • Experience must also demonstrate expertise in spelling, punctuation, and sentence structure.
  • Proficient in arithmetic and, oral and written communication in English.
  • Current valid Hawaii State driver's license, Type 3.

Responsibilities

  • Manages all administrative details of the Human Resources department, coordinating the flow of work and ensures that all deadlines are met.
  • Manages the Regional Chief Human Resources Officer's calendar to include coordinating logistics for important meetings and events, monitoring for double booking, finding a location, arranging catering services and organizing any needed equipment.
  • Keeps the Regional Chief Human Resources Officer abreast of meetings, speaking engagements and upcoming events, and coordinate schedules to ensure attendees are able to arrive on time.
  • Prepares routine general correspondence, meeting notes, meeting agendas, memoranda, charts, tables, graphs, reports, legal documents, statistical and narrative reports following standard operating procedures; checks standard forms and/or outgoing correspondence for inaccuracies of spelling, punctuation, grammar, spacing, neatness or general appearance and in conformance with policies and procedures; sends routine acknowledgements or selects form letters in response to routine inquiries.
  • Facilitates communication between departmental management, customers and other members of the community and the Regional Chief Human Resources Officer, especially in situations where issues may have escalated.
  • Serves as a team lead for various projects that impact employee morale within the Human Resources department and organization, including the region's Hospital Week celebrations.
  • Preserves superior levels of integrity, security and confidentiality when dealing with sensitive information.
