About The Position

A vacancy exists for an Administrative Assistant - Head Start in the Office of Early Childhood Services - Head Start with the Montgomery County Intermediate Unit.

Requirements

  • Two year degree in a business-related field or high school diploma/G.E.D. with equivalent experience.
  • Four (4) years' experience in a administrative support field with record of increasing responsibilities strongly preferred.
  • High level of customer service to both internal and external clients
  • Ability to operate office equipment
  • Microsoft Office, proficiency in WORD and Excel required
  • Ability to use computer technology efficiently
  • Experience with contracts, general operating budgets, and grants.
  • Must know how to format business correspondence/reports
  • Ability to learn new technology applications independently in a timely manner
  • Strong verbal, written, and interpersonal skills.
  • Experience in office procedures.
  • Ability to work independently without direct supervision.
  • Ability to handle multiple tasks/projects concurrently and to organize and prioritize work to meet all deadlines.
  • Ability to work with and relate to young children and their families.
  • Original certificates of clearance from the State Police, the Child Abuse Registry and PDE FBI

Responsibilities

  • Welcome families and visitors to our early learning programs in a positive and professional way.
  • Answer telephones and take and relay messages.
  • Communicate early learning program concerns (facilities issues, etc.) to program administrator in a timely manner and assist in resolution of concerns as needed.
  • Coordinate the acceptance of food deliveries and prep food in a timely and accurate manner according to program standards
  • Provide administrative support for the Head Start leadership team.
  • Maintain reports, invoices, service plans, budgets, etc. as requested in a timely manner.
  • Type reports, letters, memoranda, requisitions, and forms using applicable word processing tools.
  • Maintain various records using financial and related databases and spreadsheet technology as appropriate.
  • Will collaborate with Family Engagement Worker to ensure consistent and accurate recruitment and enrollment structure for early learning programs.
  • Maintain a positive working relationship with MCIU staff, Policy Council Members, parents, government officials and a wide variety of service agencies.
  • Maintain program, client, and employee confidence by keeping information confidential.
  • Perform any other job-related duties as assigned by the Program Administrator.
  • Attend all staff meetings and related in-service training
