About The Position

Requirements

  • High School Diploma or equivalent required; Associate's degree preferred.
  • 3-5 years of experience in front office administrative support.
  • Advanced IT and computer software skills including Word, Excel, and PowerPoint.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Strong organizational skills in a demanding and fast-paced work environment.

Responsibilities

  • Manage reception duties and serve as the first point of contact for visitors.
  • Provide exceptional customer service and direct visitors appropriately.
  • Answer incoming calls and forward them to the appropriate department as needed.
  • Enforce visitor policies to ensure the safety of enrollees, employees, and visitors.
  • Distribute employee communications and manage incoming and outgoing mail.
  • Maintain the appearance of the building and ensure all areas are orderly and professional.
  • Monitor enrollee attendance and ensure accurate data entry into the database.
  • Collaborate with managers to ensure timely reporting of enrollee attendance.
  • Process donations and assist with donor management record keeping.
  • Provide administrative support to leadership with program and agency needs.
  • Conduct new employee building orientation and training.
  • Perform data entry, including scanning and indexing documents.
  • Generate and mail correspondence using mail merge.
