The Role: Administrative Assistant & Front Desk Receptionist Reports To: Director of Billing and Collections Who You Are: You are friendly, organized person who enjoys helping an office run smoothly. You’re great at supporting day-to-day administrative needs while serving as the first point of contact for visitors and callers. You understand how important your role is in creating a welcoming office environment, and you take pride in providing this environment for our visitor, callers, and employees. Requirements

  • High school diploma or equivalent required; associate degree or coursework preferred.
  • 2+ years of experience in an administrative assistant, receptionist, or office support role.
  • Proficiency with Microsoft Office (Word, Excel, Outlook); basic computer skills required.
  • Strong organizational skills and attention to detail.
  • Friendly, professional communication style with a customer-service mindset.
  • Ability to handle multiple tasks, prioritize effectively, and follow established processes.
  • Dependable, punctual, and comfortable working in an office environment.

Responsibilities

  • Greet visitors and guests, ensuring a welcoming and professional experience.
  • Answer and route incoming phone calls and emails promptly and courteously, directing inquiries as appropriate.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain the reception area and shared office spaces in an organized, professional manner.
  • Provide general administrative support for day-to-day office needs for office staff as needed.
  • Assist with scheduling meetings, reserving conference rooms, and preparing materials.
  • Prepare basic correspondence, forms, and documents.
  • Maintain basic filing systems and administrative records. (digital and/or paper).
  • Order and restock office supplies and assist with inventory management.
  • Assist with submission of expense reports for leadership team.
  • Assist with basic onboarding tasks, such as coordinating workspace setup or supplies.
  • Assist with in-office meetings, events, or training (set-up, materials, coordination).
  • Communicate with vendors, building management, and service providers as directed or for routine requests.
  • Support other teams with customer service, billing, or other general inquiries as needed.
  • Perform other routine administrative and office support tasks as assigned.
