About The Position

This position is for a full-time administrative assistant position in the Department of Pharmacy Practice. Under the direction of the Chair of the Department of Pharmacy Practice and the Dean of the School of Pharmacy, the primary responsibilities for this position include providing administrative support to ensure efficient operation of the department.

Requirements

  • High school diploma or equivalent with 3 to 5 years of general office experience.
  • Strong organization skills
  • Excellent interpersonal and communication skills
  • Excellent customer service skills
  • Proficient in the use of Microsoft Office

Responsibilities

  • Assist the University in implementing the statement of purpose
  • Assist the University in implementing the strategic plan
  • Serve as the initial point of contact between the department and visitors, students, staff, and external faculty.
  • Facilitate and document internal and external departmental communications (oral, written, telephone, and electronic).
  • Collect, sort, and distribute incoming correspondence, including regular mail and email.
  • Coordinate and schedule meetings, appointments, travel arrangements, special events and other events as required.
  • Prepare agendas, schedule, attend, and document meetings as assigned. Maintain and distribute records of meetings.
  • Create and maintain reports, files, and databases in an efficient and effective manner.
  • Assist faculty in obtaining quotes, preparing purchase orders, and maintaining records of purchases.
  • Assist in preparing budgetary documents and in maintaining records of expenditures.
  • Provide support for departmental and school quality measures.
  • Accurately input and retrieve data in the management software utilized by the Office of Experiential Education.
  • Support staff in assigned project-based work.
  • Collect and maintain inventory of office equipment and supplies. Arrange for repair and maintenance of office equipment.
  • Maintain strict confidentiality of sensitive information (e.g., evaluations).
  • Fulfill other duties as assigned by the department chair or dean.
