About The Position

The Administrative Assistant for RISD Texas ACE is responsible for ensuring the efficient operation of the Texas ACE Program, as determined by the Nita M. Lowey 21st Century Community Learning Centers (CCLC) Grant. This role involves providing office assistance and administrative services to the ACE Project Director.

Requirements

  • Associate Degree preferred and/or three years of experience in a school office.
  • Experience working with student information systems - preferred.
  • Proficient keyboarding and file maintenance skills.
  • Ability to use software to develop spreadsheets, databases, and do word processing.
  • Ability to maintain accurate and auditable records.
  • Ability to perform a variety of tasks often changing assignment on short notice.
  • Strong organizational and time management skills; ability to meet deadlines.
  • Strong communication and interpersonal skills to meet the needs of people from various social, educational, and economic backgrounds.
  • Three years or more advanced secretarial experience with extensive contact with people.
  • Prior experience in a public school district - preferred.

Responsibilities

  • Prepare department communications, correspondences, forms, manuals, reports, purchase orders, and payment authorizations following district standards and requirements.
  • Compile, maintain, and file all reports, records, and other documents.
  • Maintain student records according to established procedures.
  • Assist with data entry and compliance requirements in the TEA Reporting system to meet grant guidelines.
  • Receive incoming calls, take reliable messages, and route to appropriate staff.
  • Assist staff members, students, and parents as needed.
  • Assist with campus budget preparation and maintain accurate records.
  • Prepare and process purchase orders and receive, store, and issue supplies and equipment.
  • Maintain inventory of fixed assets, equipment, and supplies.
  • Maintain confidential information and frequent contact with all levels of district employees, outside agencies, and the general public.
  • Assist with planning, preparation, and setup of department meetings.
  • Sort, distribute, or deliver mail and other documents.
  • Organize & manage routine work activities of the Texas ACE Program.
  • Assist with travel arrangements for ACE staff and students as needed, including making airline, hotel reservations and turning in conference registration forms.
  • Provide travel itinerary to the appropriate personnel.
  • Perform other duties as assigned by the ACE Program Director, Assistant Superintendent or Superintendent of Schools.
