About The Position

The Administrative Assistant provides essential administrative support to the Floral & Event Manager and the Floral department at Pebble Beach Company. This role involves a variety of clerical tasks, including managing communications, maintaining organized records, and assisting with floral orders and event preparations. The position is designed for individuals who thrive in a fast-paced environment and possess strong organizational and communication skills.

Requirements

  • 3+ years of receptionist or clerical experience required.
  • High school diploma or equivalent is necessary.
  • Proficient in Microsoft Office applications.
  • Excellent communication skills are essential.
  • Strong organizational skills to manage multiple tasks in a fast-paced environment.

Nice To Haves

  • Experience in hospitality preferred.
  • Advanced computer skills are a plus.
  • Knowledge of Pebble Beach Resorts and the Monterey Peninsula.

Responsibilities

  • Answer telephone calls, take and relay messages, and respond to general inquiries.
  • Take phone orders in an organized and legible manner.
  • Create written correspondence, reports, and schedules as needed.
  • Maintain an orderly office environment.
  • Correct spelling, grammar, and format errors in written materials.
  • Compose transmittals, memos, and correspondence as directed.
  • Process incoming and outgoing mail efficiently.
  • Maintain and update employee files and various project files confidentially.
  • Post revenue for all Floral charges and assist with ordering floral products and supplies.
  • Order office supplies for the department as needed.
  • Process receiving and invoice reports and submit invoices for payment daily.
  • Assist with online photo albums for events and weddings.
  • Organize and maintain BEOs, checking counts and tracking daily changes.
  • Type and update floral wedding/event contracts and assist with scheduling client meetings.
  • Process End of Month reports and assist with departmental special projects as necessary.
  • Participate in special events such as Concours d'Elegance and AT&T Pro-Am.
