The Administrative Assistant / Events Coordinator at The Salvation Army plays a crucial role in supporting the Territorial Youth Secretary by providing secretarial services and coordinating various events. This position involves organizing and promoting events, managing departmental administrative functions, and handling financial details related to the Youth Department. The role requires a commitment to the mission of The Salvation Army and involves working closely with stakeholders to ensure successful event execution.

  • Train new staff members on office and financial procedures, and monitor work production in the absence of officer staff.
  • Process departmental billings and incoming invoices, assist in budget tracking, and manage inventory of office supplies.
  • Coordinate logistics for annual Territorial Youth Department events, including promoting events and managing registrations.
  • Organize and supervise registration on the opening day of events, ensuring efficiency and professionalism.
  • Assist the Territorial Youth Secretary with administrative details, including scheduling meetings and handling correspondence.
  • Maintain a clean and professional appearance of the supply room and conference room, and keep the Territorial Youth Secretary's calendar updated.
  • Engage in Salvation Army Youth programming and perform duties in compliance with the organization's mission and policies.
  • Associate's degree or equivalent from a two-year college or technical school.
  • 3-5 years of related experience in administration and event coordination, preferably in a non-profit or church-based setting.
  • Knowledge of Salvation Army protocols, terminology, and procedures.
  • Experience with project management tools and event planning software.
  • Proficiency in software applications such as Publisher, Adobe Photoshop/Illustrator, and Microsoft 365 (Word, Excel, Outlook, One Drive, SharePoint).
  • Strong interpersonal skills to handle sensitive situations and excellent written and verbal communication skills.
  • Strong administrative and organizational skills with attention to detail.
  • Experience in event coordination or related field.
  • Ability to establish priorities and meet deadlines.
  • Skills to work proactively and independently, manage multiple tasks efficiently, and make decisions collaboratively.
