About The Position

Ensure efficient operation of school administrative office and provide clerical services for school's administrative staff.

Requirements

  • High school diploma or GED
  • Proficient keyboarding and file maintenance skills
  • Ability to use software to develop spreadsheets, databases, and do word processing
  • Ability to maintain accurate and auditable records
  • Knowledge of basic accounting principles
  • Ability to follow verbal and written instructions
  • Ability to perform a variety of tasks often changing assignment on short notice
  • Effective organizational, communication, and interpersonal skills

Nice To Haves

  • Secretarial experience preferred

Responsibilities

  • Compile data from a variety of sources (e.g. calendars, meetings, etc.) for the purpose of complying with financial, legal and/or administrative requirements.
  • Coordinate a variety of programs and/or activities for the purpose of ensuring availability of facilities and/or equipment and delivery services.
  • Maintain a variety of computerized and manual records, files, and department databases (e.g. information packets, rosters/listings, calendars, etc.)for the purpose of documenting activities, providing reliable information and complying with district, state and federal requirements.
  • Orient new campus personnel regarding appropriate school and district practices.
  • Prepare reports, written materials, and other general clerical functions.
  • Professionally respond to inquiries from a wide variety of internal and external parties.
  • Prepare documents requested by administrators.
  • Schedule appointments and maintain campus and administrator's calendars.
  • Attend meetings as needed.
  • Maintain daily absentee report.
  • Coordinate substitutes for the campus.
  • Maintain daily substitute report.
  • Submit monthly payroll reports according to district deadlines.
  • Report teacher/staff absences that exceed three consecutive days to HR.
  • Collect fees and/or funds from student events for the purpose of ensuring the accuracy and timely completion of transactions.
  • Maintain inventory of supplies and materials.
  • Prepare purchase orders and payment authorizations.
  • Maintain campus budget and activities account processes and records.
  • Manage received materials according to district guidance.
  • Assist teachers with supply needs.
  • Submit monthly budget reports as appropriate.
  • Support campus equipment and resources.
  • Other duties as assigned.
