The Administrative Assistant of the Educational Foundation provides critical support to the Foundation, including the Executive Director and the Board of Directors. The ideal candidate will be a problem-solver who has excellent communication skills and impeccable attention to detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to executive leadership. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position. This key member of the Educational Foundation serves as the first point of contact for inquiries via phone, email, and in-person, providing exceptional customer service.

  • Manage schedule of grant proposals, reports, and donor communications.
  • Coordinate meetings on behalf of the Foundation (scheduling, distributing support materials, correspondence, meeting minutes).
  • Manage records in the development database (Blackbaud) and run reports as needed.
  • Provide administrative support to the Executive Director.
  • Draft and prepare correspondence with donors and other contacts.
  • Schedule and attend foundation board meetings and support the foundation board of directors; prepare draft memoranda, correspondence, board agenda materials and other documents and reports.
  • Develop and manage periodic fundraising mailings and newsletters and track and evaluate results.
  • Ensure that gift acknowledgements and donor communications are sent in a timely manner.
  • Maintain all development records and data and ensure their accuracy and usefulness, for both developing and analyzing strategy.
  • Support the scholarship awarding process in collaboration with various college departments.
  • Participate in team meetings and contribute to a positive office culture.
  • Facilitate updates to the website as needed.
  • Support the Executive Director in planning and executing foundation events, including fundraisers, community outreach programs, and donor appreciation activities.
  • Work collaboratively to coordinate logistics for events, including venue selection, catering, and materials preparation.
  • Successful completion of an associate degree program in a related field required.
  • At least 3 years of progressively responsible administrative support experience, at least one of which supporting a department head or higher; or an equivalent combination of training and experience.
  • Demonstrated proficiency using Microsoft Office Suite or similar products, database systems, College email and website, and other computer applications associated with the position.
  • Ability to work independently and collaboratively within a team.
  • Strong interpersonal skills with a focus on customer-service.
  • Comfortable handling confidential information.
  • A bachelor's degree is preferred.
  • Highly motivated, adaptable, and able to manage competing priorities.
  • Possess strong personal and professional integrity, excellent verbal and written communication skills.
