About The Position

GFT is seeking an Administrative Assistant / Document Control to join our Project Team in New York, NY. This role requires regular attendance in our office in New York, NY. At GFT, we are building the future through strong construction and program management services rooted in quality, safety, innovation, and sustainability. Our construction management teams oversee every phase of a project to help ensure work is delivered on schedule, within budget, and in alignment with safety and quality standards. What you’ll be challenged to do: As an Administrative Assistant / Document Control Clerk, you will support the Project Team by preparing, proofreading, organizing, and maintaining project documentation. You will apply your experience in administrative and document control functions within a construction or construction management environment while using Microsoft Office programs to support project operations. In this capacity, the successful candidate will be responsible for the following:

Requirements

  • High school diploma or equivalent required; technical degree from an accredited college preferred
  • 3 years of experience as an administrative assistant or document control clerk within a construction management or construction organizationOR a technical degree with at least one (1) year of related experience in a construction management or construction environment
  • Working knowledge of computer software systems, including Microsoft Excel and Word
  • Strong communication skills
  • Ability to work in a field office environment and support a collaborative project team

Nice To Haves

  • Experience with document management systems such as eBuilder preferred

Responsibilities

  • Providing administrative and document control support to the GFT Project Team
  • Preparing, proofreading, filing, and maintaining correspondence, forms, spreadsheets, reports, and other project documents
  • Managing and tracking project records in accordance with document control procedures
  • Scheduling and coordinating meetings
  • Maintaining inventory of office supplies
  • Using Word, Excel, Outlook, and other software programs to complete tasks
  • Preparing reports requiring selection of data from records or statistics
  • Applying standard administrative and document control practices within a construction environment
  • Relying on experience and judgment to organize priorities and accomplish assigned goals
