About The Position

The Construction Administrative Assistant reports to the Director of Construction & Architecture/Engineering and is responsible for providing administrative, purchasing, AP, and clerical assistance throughout all roles of the Construction and Architecture/Engineering Departments.

Requirements

  • 3 or more years of experience as a bookkeeper, office manager, or in a related accounting function.
  • Self-starter, attention to detail, and thoroughness.
  • Solid verbal and written communication skills.
  • Ability to operate related office equipment, such as computers, 10-key calculator, and copier.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers.
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook).
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Ability to work independently and carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices.
  • Ability to anticipate work needs and interact professionally with employees and vendors.
  • Excellent organizational skills and attention to detail.
  • JDE and Onbase experience preferred.

Nice To Haves

  • Associate’s Degree preferred.

Responsibilities

  • Assisting both Departments with various administrative tasks.
  • Prompt and efficient data entry of AP invoices and purchase orders.
  • Auditing invoices, statements, purchase orders, etc.
  • Organize and maintain physical and digital files.
  • Assist in the monitoring of job progression.
  • Tracking subcontracting labor invoice costs and progress payments.
  • Prepare and understand entity contracts, including terms and conditions.
  • Ensure all closeout documentation is received.
  • Track time sensitive document approvals.
  • Assisting with vendor lien waivers.
  • Other tasks and duties as needed.
