About The Position

This is a program level position requiring general and specific knowledge of office procedures and related team activity. The job involves an array of clerical assignments, some highly routine and others requiring problem-solving ability.

Requirements

  • Education: Possession of high school diploma or GED
  • Professional Experience: Two years positively referenced work experience
  • Computer Skills: Microsoft Office proficient, experience with electronic health record preferred
  • Background Check: Satisfactory Criminal Background check
  • Availability of work schedule: Primarily M-F, business hours but may require evening or weekend time for specific projects.

Responsibilities

  • Provide assistance to the Program Director and CEP staff in assigned area(s).
  • Depending on assignment, may require routine visits to various CEP office locations
  • Establish and maintain office procedures that support the team in performing all phases of the employment services including intake, engagement, assessment, job placement, job coaching and follow along
  • Gather required demographic information, ensure that data required for billing is up to date in electronic health record
  • Maintain up to date staff caseload charts to provide accurate tracking of caseload size, authorizations and billable services
  • Perform monthly billing activities as required for each payer
  • Utilize eligibility verification system (EVS) for all CEP clients on a monthly basis.
  • Maintain employment service related tracking systems that support monitoring fidelity i.e. job type chart, referral tracking, employer list
  • Perform office tasks, such as answering phones, typing, photocopying, filing, etc.
  • Process mail
  • Track authorization/purchase orders, quality management activities and required timelines
  • Oversee the ordering of supplies and keep inventory of office supplies stocked as needed.
  • Observe and report any changes in individuals’ conditions, physical and/or mental health
  • Manage difficult or emotional individual situations, respond professionally for requests for assistance and support.
  • Plan coverage for absences in conjunction with your supervisor.
  • Complete training and documentation as required by regulation and accreditation bodies.
  • Attend meetings as assigned.
  • Perform other duties as assigned.
  • Serve as point of contact for clients, their families/representatives, outside agencies and referrals to respond to inquiries for CEP services as assigned.
  • Support employment team in engagement and outreach activities such as friendly reminders or cards.
  • Maintain client tracking to facilitate review of client outcomes and support fidelity monitoring i.e. time to first employer contact
  • Maintain information to support diverse business outreach i.e. business contacts, Chamber of Commerce directory or other similar activities
  • Maintain caseload lists to monitor that Employment Specialists are part of 1-2 treatment teams.
  • Maintain caseload lists to reflect DORS Counselor assignments
  • Maintain weekly meeting minutes; ensure that treatment team minutes document discussion amongst team members of client employment goals with shared decision making.
  • Assist with job fair/event planning and preparation
