About The Position

The Administrative Assistant to the Business Development Team at BECI is responsible for providing personalized administrative support to a Senior Leader, ensuring tasks are completed in a well-organized and timely manner. This role involves managing calendars, scheduling meetings, and assisting with travel arrangements, while maintaining confidentiality and professionalism. The position also includes overseeing office management and providing leadership and training to other administrative staff, contributing to a positive and efficient work environment.

Requirements

  • Bachelor's Degree from an Accredited 4-year University/College with at least 3-5 years' experience in an administrative role; or an Associate degree with at least 6+ years of experience; or a High school diploma/GED with at least 8+ years of experience in an administrative role.
  • Dedicated, reliable, loyal, energetic, and honest personality.
  • Self-motivated yet a team player.
  • Problem solver with high efficiency and customer orientation.
  • Organized and task-oriented with punctuality.

Responsibilities

  • Oversee/manage the calendars of assigned Senior Leader and/or their subordinate(s).
  • Schedule and/or delegate scheduling of meetings and send reminders to the team.
  • Create agendas or huddle documents for scheduled meetings and take notes as needed.
  • Screen phone calls and respond to low priority messages on behalf of Senior Leadership.
  • Assist Senior Leader in arranging travel, including booking airfare, hotel, and car.
  • Procure gifts for birthdays, anniversaries, and holidays as directed by Senior Leader.
  • Coordinate vendors and handle office business.
  • Notarize documents as required.
  • Streamline processes and procedure manuals with assistance from Senior Leadership.
  • Oversee work product tracking and assist Senior Leadership with monitoring metrics.
  • Manage Continuing Education requirements and compliance for Senior Leadership.
  • Assist Senior Leader in management of expense accounts and review expenses for compliance.
  • Maintain a positive and professional office environment and greet clients and guests.
  • Prepare and assist with corporate documentation and oversee electronic filing.
  • Streamline office workflow and maintain confidentiality.
  • Provide training and direction to Administrative Assistants as directed by Senior Leadership.
  • Manage office vendors and overall office environment.
  • Answer the phone in a friendly manner and oversee daily phone schedule.
  • Respond to and answer emails in a timely fashion.
  • Assist assigned staff with booking travel and completing work products like Field Notes and Reports.
  • Create and refine effective administrative systems for Senior Leader.
  • Complete expense reporting in Ajera and oversee receipt collection.
  • Assist with billing disputes and order items online as directed.
  • Manage and drive projects as assigned by Senior Leader.
