About The Position

The Administrative Assistant position assigned to the City Council of Pueblo is a full-time, FLSA exempt middle-management role that provides high-level paraprofessional support to the City Council. The role involves performing complex and confidential administrative duties under the supervision of the Mayor's Office, coordinating meetings, managing correspondence, and assisting with budgetary tasks. This position requires strong organizational skills and the ability to handle sensitive information with discretion.

Requirements

  • Bilingual proficiency.
  • Proficiency in Microsoft Word, Excel, and Publisher.
  • Mid-level administrative experience with a high school diploma or GED.
  • Bachelor's degree preferred.
  • Organizational skills and attention to detail.
  • Certified Notary Public within six months of hire.
  • Minimum of two years of executive administrative support experience.
  • Strong communication skills, both verbal and written.

Responsibilities

  • Coordinates and prepares City Council Work Session meetings with various stakeholders.
  • Prepares, transports, sets up, and cleans up materials for City Council meetings and events.
  • Attends evening, weekend, and special City Council meetings as required.
  • Receives and investigates inquiries, complaints, and correspondence from citizens and community groups.
  • Conducts research for document preparation and compiles data for projects.
  • Interprets policies and relays information to others with tact and sensitivity.
  • Plans and arranges attendance for conferences and events for City Council members.
  • Assembles and monitors the City Council budget, performs bookkeeping tasks, and tracks expenditures.
  • Purchases office supplies while monitoring the City Council budget.
  • Establishes and maintains office operation procedures and recommends improvements.
  • Provides assistance in the preparation of the City Council annual budget.
  • Serves as a liaison on administrative matters between City Council and other entities.
  • Analyzes and prioritizes material, maintains files, and prepares routine documents.
  • Coordinates with various offices on ordinances and resolutions desired by City Council.
  • Drafts resolutions and manages contingencies accounts as directed by City Council.
  • Maintains filing systems, computes payroll, and monitors inventory for City Council.
  • Takes and transcribes technical and confidential dictation.
